POSITION DESCRIPTION

Position Title: OFFICE COORDINATOR

Reports To: SR. DIRECTOR, HUMAN RESOURCES

Direct Reports: No Functional Unit: HUMAN RESOURCE DEPARTMENT

FLSA Status: Exempt Position Type: Full-Time

THE CHALLENGE

We are seeking a Corporate Office Coordinator to support the day-to-day operations of the Denver, New York, and Charlotte Corporate Offices and provide high-quality administrative support. This role requires strong organizational and communication skills, excellent attention to detail, and the ability to manage competing priorities in a fast-paced, collaborative environment.

PRIMARY RESPONSIBILITIES

Office & Facilities Management

  • Manage daily office operations, including supply stocking, vendor coordination, and general office upkeep
  • Oversee kitchen and breakroom needs, including snacks, beverages, and coffee equipment
  • Coordinate office maintenance and assist with space planning efforts

Mail & Shipping Coordination

  • Handle incoming and outgoing mail, shipping logistics, and supply restocking for both Denver and NY offices
  • Prepare and send labels and packages for HR, employee engagement, and company-wide needs

New Hire Onboarding Support

  • Organize and deliver onboarding items, including welcome boxes, badges, parking, and office tours
  • Coordinate onboarding logistics with the new hire to ensure a smooth and engaging new hire experience
  • Conduct an office and building tour

Event & Meeting Support

  • Assist with logistics for internal events, including the HR retreat, holiday celebrations, and Board visits
  • Support on-site preparations and coordination for quarterly board meetings with food, supplies, and forecasted needs

Employee Engagement & Recognition

  • Plan and execute monthly engagement activities, monthly birthday lunch, anniversary recognition program, GSD award program, and team celebrations
  • Coordinate and distribute company swag and milestone gifts (anniversaries, celebrations, condolences)
  • Manage branded swag projects from concept to delivery, and other corporate gifts
  • Execute annual swag orders and ensure consistency across all corporate locations

Finance & Expense Management

  • Submit and reconcile expense reports for designated executives and stakeholders
  • Maintain accurate records and ensure timely processing in line with company policies

THE PROFILE TO SUCCEED

  • Proven ability to manage multiple tasks and deadlines with a high degree of accuracy
  • Strong organizational and time-management skills; highly detail-oriented
  • Excellent written and verbal communication skills
  • Comfortable working both independently and collaboratively in a team environment
  • Proficiency with Microsoft Office Suite; experience with Workday or expense systems
  • Professionalism, confidentiality, and a customer-service mindset

PHYSICAL REQUIREMENTS

Must be able to accomplish physical requirements with or without reasonable accommodation.

  • Ability to sit, stand, talk, hear, and use close and distance vision
  • Ability to lift and/or move up to 10 pounds
  • Occasional travel (up to 10%) may be required

The position functions in a smoke and vape free professional office environment. The role routinely utilizes standard office equipment such as laptop computer, phone, and scanner/photocopier.
